K.O.S. Editorial and Records Sub Committee
Meeting:2nd December 2006 at
Bromhey Farm
Present: Barry Wright (chair), Don Taylor, Geoff Burton, John Clements, Gordon Allison, John Tilbrook, Ian Roberts, Martin Coath, Tim Hodge and Alan J. Fossey (recorded minutes).
1. Apologies for absence

2. Matters arising from Minutes of last meeting.
a)
Booklet on how to write descriptions/report sightings to the KOS
Barry reports that he has made no progress with this but will work on coming up with a shortened version of one similar to that found on the Sussex web site (reference: http://www.sos.org.uk/ReportForms.htm)
b)
Secretary. Alan J. Fossey has volunteered his services
c)
Caspian Gull records update.
CD disk of photos of 2005 birds has been compiled by Dave Walker and approx 40 descriptions from Dungeness as of 1st January 2004 have been assessed)
Consensus was that records are generally being submitted from elsewhere in Kent with the exception of the Pegwell area.
No inland records are being claimed within Kent, despite occurrences elsewhere in the country.
d)
Barry has yet to contact Rob Wilson regarding rarity photos.
Barry does not know how or where to contact Rob, but will continue trying to track him down for photos and permission to use them on the KOS web site/archive. Ian believes he had some old contact details for Rob and will try to locate them and pass on to Barry .
e) Any feedback from SBBO regarding access to old slides for scanning.
SBBOs Karen Bartlett (the Secretary of SBBO) is to be contacted by Barry referring to this query regarding whether they will be happy for old slides to be scanned for the KOS web site/archive. Tim has an email address if required as there is currently no email address on the SBBO web site.
f) Newsletter editor. Any volunteers to take on this role?
John Cantelo has apparently offered to take on this role and would like to run with a committee in place for the newsletter.
Ian Hodgson will continue to work on the systematic lists.
g) KOS constitution. Has it been updated?
A rewrite is generally considered to be required by the committee and a volunteer is required.
h) Future Rarity Panel members. Hopefully a brief note will be in the next newsletter regarding nominations.
Barry sent a note for publication in the next newsletter regarding two vacancies coming up. Nigel Jarman and Gordon Allison will be finishing next year
3. Notification of BBRC decisions
Barry reports that he should be receiving emails from Pete Fraser detailing acceptance/non-acceptance of Kent rarities. This has not happened as yet, so all the data Barry has was sourced from the rarities reports on the BBRC web site (reference: http://www.bbrc.org.uk/index.htm).

Virtually there, waiting for the ringing reports and hope to be published around the end of January.
Likely to be a Hawfinch on the cover, painted by Stephen Message
2005
Tim stated that the record cards should hopefully to be sent out around January / February.
Tim stressed that the Systematic Lists need to be turned around quickly if the July target for publication is to be met.
Gordon has been asked whether he can try to supply north Kent records.
Likely to be a Trumpeter Finch on the cover.
9. Outstanding Rarities update
Barry has complete list, these have been sent out to the Rarity panel.

Templates for KOS headed notepaper
Alan will contact Ken Lodge and request colour and black and white format examples of headed notepaper. Robin Mace will also be contacted as he may already have electronic examples.
